When more detailed information is required, particularly as part of the evaluation or preparation of a medical project, Voyages Renaissance primarily uses its Microsoft 365 environment, including Microsoft Forms, SharePoint, and Teams.
We may also collect information when you communicate directly with our team by email, telephone, videoconference, Teams, or any other communication method that we make available to you.

- allowing the healthcare professionals involved to evaluate your project;

- complying with our legal and regulatory obligations;

In Quebec, consent must be clear, free, informed, and given for specific purposes, and written requests for consent must be presented separately from other information when required.
Our Microsoft 365 Environment
The more detailed information collected as part of a project is primarily centralized within Voyages Renaissance’s Microsoft 365 environment.
We use Microsoft Forms, SharePoint, and Teams to collect, organize, and communicate the information necessary for processing client files.
Access to personal information is not automatically granted to all members of the team.
Permissions are assigned according to each person’s role and responsibilities and based on the need to access the information required to perform their work.
Quebec’s privacy legislation requires that access to personal information within an organization be limited to authorized individuals who need it in the performance of their duties.
Controls are also applied to limit external sharing from Voyages Renaissance’s Microsoft environment.
Professionals Involved in Your Journey
Certain professionals involved in the evaluation or completion of a project may need access to a portion of your information.
Access is limited to the information necessary for their role in your journey.
Certain collaborating professionals have Microsoft accounts administered by Voyages Renaissance in order to provide controlled access to the tools and information required for their work.
The fact that access is administered by Voyages Renaissance does not change the professional status of physicians, surgeons, and other independent professionals. Medical and professional responsibilities remain those of the professionals concerned, as explained in our Disclaimer
Access to or Processing Outside Quebec
Certain professionals involved in your journey are located in Mexico.
When necessary for the evaluation, preparation, coordination, or completion of your project, certain personal information may therefore be accessed, used, or processed outside Quebec.
Voyages Renaissance takes applicable privacy protection requirements into account when such communications occur and implements the measures required based on the nature of the information and the circumstances.
Quebec law notably requires an assessment of privacy-related factors before personal information is communicated outside Quebec and requires that such communication benefit from appropriate protection and be governed by a suitable written agreement.
Access Limited According to Roles
Voyages Renaissance applies the principle that an individual should only have access to the information necessary to perform their duties.
Permissions may therefore vary depending on the person’s role within the journey.
For example, a team member responsible for administrative tasks does not necessarily need access to the same information as someone involved in medical coordination.
Access rights may be modified or removed when a person’s responsibilities change or when access is no longer required.
Client Portal
Voyages Renaissance provides certain clients with an authentication-protected client portal.
This portal is primarily intended to restrict access to documents and resources reserved for Voyages Renaissance clients.
The documents available through the portal are generally common documents intended for the clients concerned, and the client portal is not designed to store a client’s personal medical file.
The information retained on the website in relation to the client portal is primarily limited to what is required for account creation, administration, and authentication.
You are responsible for maintaining the confidentiality of your login credentials.
Website and Technical Data

Voyages Renaissance may offer text message communications to facilitate certain interactions with its clients or with individuals who have requested to be contacted.
When SMS messages constitute commercial electronic messages under Canadian legislation, Voyages Renaissance complies with the applicable requirements regarding consent, identification, and unsubscribe mechanisms.
Commercial SMS messages are subject to Canada’s Anti-Spam Legislation (CASL). The CRTC confirms that they generally require consent, identification of the sender, and a functional unsubscribe mechanism.
When we request express consent to receive such communications, that consent is obtained separately, and we retain the information necessary to document that consent.
You may withdraw your consent to commercial communications at any time according to the instructions provided with those communications. For SMS messages, a simple mechanism such as replying STOP may be used when this functionality is offered.
A request to unsubscribe from a commercial electronic message must be processed without delay and no later than ten business days, in accordance with CASL requirements.

Technology Providers and Other Service Providers
Voyages Renaissance uses certain technology providers and services that are necessary for the operation of its business and website.
Depending on their role, these providers may process certain information on our behalf.
We seek to limit the information accessible to these providers to what is necessary for the services they provide and to use providers that offer appropriate protection measures.
Certain technological infrastructures may be located outside Quebec or Canada.

Retention of Information
Voyages Renaissance has established a general retention period for personal files related to client projects.
Unless a different period is required or permitted because of a legal obligation, a particular situation, or a legitimate need, personal information associated with a file is retained for up to 18 months following the closure of that file.
At the end of the applicable retention period, the information is securely destroyed or anonymized when the law permits its retention in that form.
Certain administrative or transactional records may need to be retained for a different period when required by applicable laws.

Voyages Renaissance applies administrative, organizational, and technological measures designed to protect personal information against unauthorized access, use, disclosure, modification, or destruction.
These measures include access controls and permissions established according to roles and responsibilities.
